Arts Travel Grant

You can apply for funding for travel expenses in connection with studies abroad.

  • You cannot apply for funding for travel in Denmark
  • You cannot apply for funding for travel in connection with your Master's thesis

The rules have been approved at all relevant managerial levels at the Faculty of Arts and came into force on 1 July 2013.

Application criteria

You do not need to submit this form if you have been allocated an exchange position through one of AU's exchange agreements

Students studying abroad through an exchange agreement will automatically be considered for Erasmus, Nordplus/Nordlys and/or faculty grants. You can only receive one grant for your study abroad.

You can apply for Arts Travel Grant if you:

  • Plan to study abroad at a foreign host university as a free-mover.
  • Plan to conduct internship/fieldwork/language studies abroad provided that such activities are part of your study guide.
  • Have completed minimum 1 year of your studies at AU (passed exams corresponding to min. 60 ECTS). Please note that some programs have an internal rule of minimum 2 years of their studies (corresponding to min. 120 ECTS). If in doubt, please ask your Department.

The study abroad period must form part of your ordinary study period, which means that it must result in credit transfer corresponding to min. 30 ECTS.

Your study abroad period must have a duration of 3 to 10 months, unless otherwise specified in your study guide. Also, your study abroad period must be consecutive and at the same destination.

Confirmation of enrolment

During your study period abroad, your host university/place of internship/fieldwork/host of your language studies must confirm your destination and the length of your stay immediately before your return to Denmark on the document ”confirmation of enrolment”. The document must be filled in, dated, signed and stamped to be valid.

Upon your return to Denmark, the document must be scanned and sent to rejsestipendium.arts@au.dk no later than 2 weeks after your return.  

IMPORTANT! If you fail to submit the document with the required information to the Faculty of Arts, you will be required to repay the grant to Aarhus University.

Previous studies abroad

You can receive an Arts Travel Grant max. 2 times during your TOTAL study period: Once during your BA studies and once during your MA studies.

Please note that previous studies abroad financed via ERASMUS+ and Nordplus are included. For example, if you choose to study abroad during you BA studies and your study abroad period is financed via ERASMUS+/Nordplus, you can only apply for an Arts Travel Grant when you have begun your MA studies and plan a second study abroad period. However, if you choose to study abroad during your BA studies and your study period is NOT financed by ERASMUS+/Nordplus, you may apply for an Arts Travel Grant and subsequently apply for a second Arts Travel Grant once you have begun your MA studies and plan yet another study abroad period provided that your second study abroad period is not financed by ERASMUS+/Nordplus either.

Application deadlines

There are two rounds of application annually:

  • 1 March - 1 April (study abroad in the Fall semester the same year)
  • 1 October - 1 November (study abroad in the Spring semester the following year).

The online application must be submitted before midnight on the enddate.

It is possible to submit your application even though you are not able to state all of the necessary information (e.g. place of internship, start and end date or pre-approval of credit transfer). In this case, please forward the information to rejsestipendium.arts@au.dk as soon as you have the information. All information must be sent to us prior to departure.

Applications not submitted before expiry of the deadline are NOT accepted.

It is NOT possible to apply in retrospect.

IMPORTANT! It is your responsibility to ensure that your application and the required appendices are submitted before the deadline. This also applies to late submission of your pre-approval of credit transfer in case you have not received a decision from your Board of Study before the application deadline, cf. above.

Grant categories

Arts Travel Grant are categorized as follows:

  • In Europe:            4000 DKK
  • Outside Europe:    6000 DKK  (incl. Greenland, The Faroe Islands and Iceland)

The categories are fixed so it is not necessary to include a budget of your expenses.

Appendices to the application

You must include documentation with your application if you:

  • Are going to study abroad at a foreign host university

If you are going to study abroad at a foreign host university, you must include a pre-approval of credit transfer from your Board of Study. The appendice should be enclosed when you submit your application, if possible.

Consequently, we recommend that your approach your Board of Study in due time so that you may obtain your pre-approval of credit transfer well ahead of the application deadline. Your Board of Study will process your request for pre-approval of credit transfer within 8 weeks.

If your pre-approval of credit transfer has not been processed by your Board of Study before the application deadline, is is possible to submit it at a later point in time. In this case, we will put your application on stand-by until we have received the pre-approval of credit transfer from you. The important issue here is that you meet the application deadline.

Please note that the pre-approval for credit transfer must be submitted before your departure, so that your application may be processed before that. If you fail to submit the required documentation prior to departure, your grant will be cancelled since we do not accept applications and/or appendices submitted in retrospect.

Decisions on Travel Grant Application

Applicants will receive a decision by regular mail within two months from the application deadline provided that application is complete will all required appendices, cf. above. If the application does not comprise all relevant appendices, the processing will be delayed.

If you are granted an Arts Travel Grant you are subsequently required to prove that you have completed your studies abroad according to the demands stated in the section "Submission of proof of study period abroad".

Payment of grant

Your grant will be transferred automatically into your Danish NEM account the last weekday up to the official start date of your study period/internship/fieldwork/language studies abroad. If you studies starts for example the 12th of February then you will receive the grant the last weekday in January. It is not possible to expedite the payment if you choose to depart for example 1-2 weeks before the official start of your studies abroad. If you do not have NEM account then send us an email with the correct bank information

Travel advise from the Ministry of Foreign Affairs in connection with Covid-19 and payment

Please note that the travel grant cannot be disbursed to students with destinations where the Ministry of Foreign Affairs advises against all travel – i.e. Countries marked in red in the Ministry of Foreign Affairs ' travel guidelines.

Study and language stays and fieldwork are regarded as necessary travel, and it is therefore possible to grant scholarships to students who choose to travel to destinations where the Ministry of Foreign Affairs advises against all non-necessary travel (i.e. countries marked in orange in the Ministry of Foreign Affairs' travel guidelines).

Changes to your application

Change of address

If you change your address during the period between the application deadline and the processing of your application, you must inform us of your new address.

Change of host university/place of internship/fieldwork/place of language studies or study period

If you change university/place of internship/fieldwork/place of language studies or the duration of such studies abroad, you are obligated to inform us of such changes and your application will be reassessed on the basis of the new information.

Please note that the grant is associated with the dates in your application and that it CANNOT be transferred from one semester to another.

Cancellation of your stay abroard

If your stay is cancelled or if you do not wish to go abroard you must to let us know by email. Please send the information to rejsestipendium.arts@au.dk

Submission of proof of study period abroad

Your grant letter was accompanied by the document "Confirmation of enrolment".
It can also be found under "Forms" on this page.
