How to apply for exemption

Application for exemption

You can apply for exemption from some of the rules that apply to your degree programme. The rules are set out in a number of executive orders: the Education Executive Order, the Admission Executive Orders, the Examination Executive Order, etc. All executive orders are available (in Danish only) at www.retsinformation.dk. Other rules may be set out in the academic regulations for your degree programme – in certain cases it is possible to obtain exemption from these rules as well.

All applications must be sent through the student self service (mit.au.dk).

An exemption is processed by the board of studies on the basis of an application from the student, so applications for exemption should be submitted to the board of studies. Examples of situations where you must apply for an exemption:

  • You require more than three examination attempts for a given examination
  • You need an extension of the deadline for participation in/passing the first-year examination
  • You require extra time for the examination due to special circumstances
  • You require a reduction of the 30 ECTS registration requirement - The deadline for applications for exemption from the registration requirement in the autumn term 2015 is 20 May.
  • You require to change a subject. Please notice that it is possible to apply for a change of subject regarding fall term 2015. Application deadline 7 June 2015. Applications received after the deadline will not be processed.

Use the following rules of thumb when writing an application for exemption:

  • Address it to your board of studies
  • Provide personal details (student registration number, name, address and mobile phone number)
  • Write exactly what you are asking for and which rule you are applying for exemption from (if in doubt about which rules, contact your student counsellor or Study Service ST)
  • State the reasons for your application. Remember that the academic regulations (and the current executive order) require ‘unusual circumstances’ in order to process an application for exemption Going on a holiday or having a cold whilst preparing for an examination do not amount to ‘unusual circumstances’. Unusual circumstances can often be documented, e.g. by a medical certificate or a written confirmation from a public authority. If possible, attach documentation.
  • Sign the hard copy application using a blue pen. Applications that have not been signed will be returned.
  • The application can also be forwarded by e-mail, but it must be as complete as if it was sent by letter!

In certain cases you will be asked to come in for an interview with a director of studies/administrator in connection with the processing of your request.

Remember that your student counsellor can help you with applications for exemption. You are also welcome to contact Study Service ST or a staff member at AU Studies Science and Technology if you are in doubt about any of the rules or guidelines.
