Advance approval | Students at the Faculty of Arts

If you want replace one or more courses on your degree programme with courses taken on another degree programme at Aarhus University, or courses taken at another university in Denmark or abroad, you need to gain advance approval of these courses.

When you apply for advance approval, the board of studies will give you its academic assessment of whether the course(s) concerned can form part of your degree programme.

Gaining advance approval of courses has the same effect as registering for them. So you cannot also register for any courses (including elective courses) which you are replacing.

Advance approval is granted based on the academic content of the course concerned. You are responsible for ensuring that courses for which you have gained advance approval do not overlap with other parts of your degree programme, including teaching, exams and your thesis.

Applying for advance approval:

Courses at Aarhus University

If you want to register for a course at Aarhus University which has not already gained advance approval on your degree programme, you need to apply for this advance approval.

Courses for which advance approval is being sought must correspond to the same number of ECTS credits that you want to replace on your degree programme, as well as complying with the demands stated in your academic regulations.

You can apply for advance approval via MYSTUDIES:

When you apply, you must enclose the following:

  • A course description (description of content and academic objectives) – preferably with a link to a course catalogue
  • The level of the course (Bachelor or Master)
  • The ECTS weighting

If the board of studies grants your application for advance approval, the decision will describe how you should apply for admission to the course concerned. If you have any questions, please contact Study Centre Arts.

We recommend that you apply for advance approval as soon as courses are presented in the course catalogue. This should mean that you get an answer to your application before the course registration period starts.

If you do not gain a place on a course, or are prevented from taking part in it

If this happens before the deadline for applying for advance approval, you can withdraw your application (using the application form at MYSTUDIES) and submit an application for the advance approval of a different course. Or you can register for a course that is part of your degree programme.

If the deadline for applying for advance approval has passed, you can still register for a course which is part of your degree programme by sending an email to Study Centre Arts.

Once you have passed this course, the result will be transferred automatically to your degree programme.

Courses at other universities in Denmark

If you want to register for a course at another university in Denmark, you must apply for advance approval.

Courses for which advance approval is being sought must correspond to the same number of ECTS credits that you want to replace on your degree programme, as well as complying with the demands stated in your academic regulations.

You can apply for advance approval via MYSTUDIES:

When you apply, you must enclose the following:

  • A course description (description of content and academic objectives) – preferably with a link to a course catalogue
  • The level of the course (Bachelor or Master)
  • The ECTS weighting

If the board of studies grants your application for advance approval, you are responsible for applying for admission in accordance with the deadlines and rules of the university in question. If you have any questions, please contact the student counsellors at the university concerned.

We recommend that you apply for advance approval as soon as courses are presented by the university concerned. This should mean that you get an answer to your application before the course registration period starts.

If you do not gain a place on a course, or are prevented from taking part in it

If this happens before the deadline for applying for advance approval, you can withdraw your application (using the application form at MYSTUDIES) and submit an application for the advance approval of a different course. Or you can register for a course that is part of your degree programme.

If the deadline has passed, you can still register for a course which is part of your degree programme by sending an email to Study Centre Arts.

Remember to apply for credit transfer

Once you have passed a course for which advance approval has been granted, you need to apply for credit transfer. Read more here:

Courses at universities outside Denmark

If you want to register for one or more courses at a university outside Denmark, you need to apply for advance approval.

If these courses are part of your Bachelor’s supplementary subject (ITTU courses), you can read more about how to apply for advance approval here:

In connection with studying outside Denmark, you can apply for advance approval of more ECTS credits than the number that can be credit transferred to your degree programme (but no more than twice as many). This gives you more flexibility when registering for courses at your host university (some courses may not be conducted after all, or they may overlap with other courses).

You can apply for advance approval via MYSTUDIES:

When you apply, you must enclose the following:

  • A course description (description of content and academic objectives) – preferably with a link to a course catalogue
  • The level of the course (Bachelor or Master)
  • The ECTS weighting (or a description of how to convert to ECTS credits)

If you can’t get hold of a course description before the deadline for applying for advance approval, you should send your application before the deadline and state that you will be sending the course description at a later date.

If the board of studies grants your application for advance approval, you are responsible for applying for admission in accordance with the deadlines and rules of the university in question.

Changes in your courses

If you discover that your courses have been changed when you arrive at a university outside Denmark, it is important that you apply for an amendment of your advance approval as soon as possible.

You should do this using this form:

Remember to attach the new course description, including information about the level and the ECTS weighting

Do you need to cancel your stay abroad?

If you are prevented from taking courses at a university abroad, you must cancel your advance approval as soon as possible. You do this by completing the application form 'Exemption' on mitstudie.au.dk and indicating that you wish to cancel the pre-approval of the relevant course(s).

You can then register for the courses offered on your degree programme by sending an email to Study Centre Arts.

Remember to apply for credit transfer

Once you have passed a course for which advance approval has been granted, you need to apply for credit transfer. Read more here:
