Guidelines

In the exam schedules you can find different codes for the form of the written exams. Beneath you can find a guide to each of the different exam types:

At on-site exams, you may also find one or more of the documents below on the table. Please note that the documents are dynamic, and will continuously be updated. If you choose to print or download the documents from this page, you must always make sure that you have the most recent versions.


Aids

At all digital on-site exams you must bring a laptop computer and use this as a writing instrument. You are not allowed to use any other electronic equipment which gives you access to the internet or allows you to communicate with others (e.g. mobil phones, iPads, tablets, smart watches) and you are not allowed to bring extra monitors to the exam.

In the course description in the course catalogue you can see which aids you are allowed to use at the exam. It is indicated as All, Specified or No aids in the course description.

  • All aids: You may bring all ordinary aids, e.g. notes, dictionaries and textbooks etc.
  • Specified aids: You may only bring the aids which are specifically listed in the course description in the course catalogue, and which are announced in the examination room.
  • No aids: You are not allowed to bring any kind of aids to the exam.


Internet

At all digital on-site exams, there is internet access which you must use to download the exam assignment as well as to upload your finished exam paper. (This is why it’s important that you test whether you are able to connect your computer to the wireless network Eduroam well in advance of the exam).

You are allowed to use the internet to search for information if the exam type permits it. (At WOA, WOMC and WO exams, you are not allowed to use the internet during the exam.)

You must never communicate with anyone in or outside the exam room.  This means that all communication and file sharing services (mobile phones, email, Messenger, Skype, Dropbox, etc.) must be shut down throughout the entire time you are in the exam room. 

How do I convert my exam paper to pdf?

Before you can upload your exam paper in WISEflow, you must generate a PDF file of your paper, e.g. in Word by saving the file as a PDF. The PDF file ensures that it is impossible to change the content and formatting of the paper, which means that when your assessors open the file, it will look the same as when you submitted it. The uploaded PDF file corresponds to the paper version that students have previously been asked to print out and hand in.

Your exam paper must be handed in as one PDF file. The maximum permitted file size for the total PDF file is 200 MB. Additional material/appendices may (if permitted) be uploaded in other file formats. The total maximum permitted size is 5 GB.

If you are having trouble generating a PDF file, you can find help in the following guidelines:  

When converting an Excel-document from Mac, you should pay special attention to Excel-files with multiple sheets. 
   
NOTE:
Do not insert page numbers, images, highlighting or anything else in the PDF file after it has been created, as this can cause problems when uploading it in WISEflow. Always make corrections in the original document and create a new PDF file. 

Certain programs may add so-called annotations to the PDF file by default (without you having added them on purpose). Especially Microsoft Excel on Mac has this problem. Please see this guideline  if you experience problems with annotations

Before the exam

How do I log on and get access to WISEflow?

We recommend that you use Chrome or Firefox for accessing WISEflow. The two latest versions of the browsers are supported by WISEflow. Read more about supported browsers here.

It is important that you, prior to your exam, check that your browser is updated. At worst, you may not be able to submit your exam paper in WISEflow.

Do I have to bring my own computer?

Yes, you have to bring a portable computer (PC or MAC), a power cord and an extension cord for digital on-site exams. You may not bring tablets/iPads, e-readers or extra computer screens.

Are there specific requirements for my computer?

For all WISEflow exams the following requirements apply:

  • We recommend using either Chrome or Firefox for for accessing WISEflow. The two latest versions of these browsers are supported by WISEflow.

    It is important that you, prior to your exam, check that your browser is updated. At worst, you may not be able to submit your exam paper in WISEflow.
      
  • WISEflow on-site exams are conducted on the wireless network Eduroam. Prior to the exam, you should check that you can connect your computer to Eduroam.
     
  • If you are or have been abroad with your computer, you should check the time zone of your computer. See the FAQ "Where can I see the start and end times of my exam?" below.

For FLOWlock exams (WO and WOMC), particular requirements apply:

REMEMBER!

  • It is your responsibility to ensure that your computer is updated as described above and is compatible with the digital exam program.
  • You are also in charge of installing an updated antivirus program on your computer. (PC)
  • You should let your antivirus program do a “full scan” of your hard drive prior to the exam and preferably also the day before the exam. (PC)
  • You are allowed to run Windows from a Windows To Go USB. It is your responsibility to ensure that this works at the start of the exam. The invigilators in the exam room cannot provide support for this.

Can I bring my tablet or an extra monitor?

No you are not allowed to bring tablets/iPads, e-readers or an extra monitor to an exam. You are only allowed to bring one laptop computer (PC or Mac).

How do I prepare for a WISEflow exam?

To prepare for the digital WISEflow exam, it is a good idea to go through the following checklist:

  • Do you have access to the wireless network Eduroam on your computer?
  • Have you updated the operating system on your computer?
  • Have you installed and updated your browser? We recommend that you use Firefox or Chrome.
  • Do you know how to make a single pdf-file of your exam paper? (Not relevant at FLOWlock exams - WO og WOMC)
  • Did you try out the demo exam (Demoflow) in WISEflow? (See FAQ below)
  • Do you have access to the exam flow in WISEflow (approximately 1 week prior the exam)?
  • Did you read the guideline for the exam type in question in the left side menu below Digital Exam > Guidelines.  

Only for FLOWlock exams (WO og WOMC)

  • Did you install the latest version of the lockdown browser?
  • Did you read the guideline for FLOWlock exams (WO og WOMC) in the left side menu below Digital Exam > Guidelines.  

Where can I see the start and end times of my exam?

The start and end times of your exam are listed in the exam schedules, which you will find in the menu below “Exam” and “Exam Schedules”. The times are in official Danish time, CET/CEST (Central European Standard Time).

You can also see the start and end times of your exam in WISEflow, but you should be aware that WISEflow retrieves time zone settings and time from your computer's settings. This means that if you are or have been in e.g. Nuuk, and your computer is set for West Greenland Standard Time, your computer's clock – and thus the start and end times in WISEflow – will not be consistent with official Danish time (e.g. Danish time: 12.00, Nuuk – Time: 08.00).

On many computers, the time is set automatically according to the time zone in which the computer is located. If your computer does not do this automatically, you should be aware of changing the time zone when moving between time zones in order for the deadlines in WISEflow to reflect the Danish exam time.

WISEflow synchronizes the time in relation to the user's time zone when the flow is opened, so make sure to close and reopen the flow or log out and back on WISEflow, if you move between time zones or manually change the time zone on your computer.

Will I get access to a demo exam?

As a student, you have access to so-called demo exams (Demoflows) in WISEflow, which give you the opportunity to try to upload and submit an exam paper in WISEflow.

In order to run the FLOWlock demoflow, you first have to downloade the browser which is used for FLOWlock exams. See the FAQ above.

Please notice that the demoflow runs at a lower security level than the real exam which means that it is possible to cheat when using the demo version but not the exam version.

How do I receive notifications from WISEflow?

It is recommended that you set up WISEflow to send you e-mails with notifications, so that you automatically receive emails from WISEflow, e.g. when you are registered for an exam.

  1. Log on to WISEflow.
  2. Click on your name in the upper right-hand corner and select "Edit profile".
  3. Select the "Email" tab and turn on "Receive notification" next to the desired email address(es). You may also add a new email address.
  4. Click "Save settings".
  5. To ensure that you receive emails from WISEflow, click the "Send testmail" button. If you do not receive an email from WISEflow, you should check your spam/junk filter.  If the email is caught by your spam filter, you should mark the email as “not junk/spam” in order to receive future emails from WISEflow directly in your inbox.

What is FLOWlock and how do I get access to it?

FLOWlock is a special type of flow in WISEflow, which is tailored to on-site examinations, where the exam paper must be completed and submitted within a specific time frame, with only limited or no aids and under supervision.

A FLOWlock exam (WO or WOMC) takes place entirely within the lockdown browser, where you will get access to a built-in text editor which limits your access to all other programmes on your computer while the flow is active.

To take a FLOWlock exam, you must download, install and test the lockdown browser. Click on your name in the top right-hand corner in WISEflow and select "Edit profile".  On the "System Requirements" tab you can download and test the browser. Here you will also be able to see if your computer meets the minimum requirements.

It is important that you do this well ahead of the date of the examination in order to prevent any problems, e.g. shortages on your computer, trouble with the lockdown browser or getting access to the demoflow.

On-site exams require you to be physically present

When attending on-site exams, you are required to be present in the examination room stated on the exam plan. This means that you are not allowed to submit an exam paper if you are not present in the actual exam room. Submissions made outside the examination room will be treated as attempts of cheating and will be reported.

If you are registered for an on-site exam and decide in advance not to take it, you should either deregister the exam within the time limit or refrain from appearing at the exam. Absence from an exam will be registered as a used exam attempt and will give you access to registering for the reexamination. See also Exam registration and withdrawal in the left-hand menu.

What constitutes cheating at exams and what are the consequences?

Aarhus University has prepared this brochure, which explains what cheating at exams constitutes and provides examples of exam cheating. If you are in any doubt at all, we strongly urge you to ask your lecturer, your supervisor or your examiner.

Consequences of cheating at exams

It is your responsibility to stay informed about the traditions within your subject field and the code of ethics. Violating these rules is a serious matter and may be so severe that it must be treated as exam cheating.

The consequences of cheating at exams are specified in the Rules regarding disciplinary measures for students. Attempts at cheating at exams will be dealt with in accordance with the rules on exam cheating no matter whether the attempt at cheating is successful or whether you actually intended to cheat. The rules on exam cheating are applicable irrespective of the type of examination.

NOTE:
If you experience problems with uploading and handing in your exam paper in WISEflow in connection with a take-home assignment, you should send your paper to the following email: bss.exam@au.dk.

Your exam paper must be sent to the email within the deadline for submission, and it must comply with the requirements for file format and size. See the description of format/size in the FAQ below.

If you have sent your exam paper to the email bss.exam@au.dk, you must at the same time apply for an exemption to have your paper forwarded for assessment. You do this via mystudies.au.dk below > "Applications”.

Note that even if you have sent your exam paper to the email within the exam deadline, it is not sure that your application for exemption will be met.

How do I get technical support for on-site exams?

If you experience any problems in connection with an on-site exam, you should contact the exam supervisors in the room.

NOTE:
You must contact the exam supervisors well in advance of the deadline for submission.

In which format should I hand in my paper?

(Not relevant at FLOWlock exams WOMC/WO):

Your exam paper MUST be handed in as one PDF file, but additional material/appendices may be uploaded in other file formats. The maximum permitted file sizes are: 200 MB for the total PDF file and 5 GB in total for additional material/appendices .

NOTE: Be careful when you upload your exam paper. Unfortunately, there are examples of students who upload a wrong file by mistake. The consequences of this are that your examination paper will not be graded and you will have used an examination attempt.

How do I convert my exam paper or assignment to PDF?

How do I remove hidden personal information from my exam paper?

Your exam paper may contain hidden personal information that is automatically saved as part of the metadata of the file. You can read more about metadata and how to remove the hidden personal information from your exam paper in this guide.

Please note: It will not affect the assessment of your exam paper if you choose not to remove this information.

Submitting your paper in WISEflow

You must submit your exam paper in WISEflow prior to the exam end time. The exam flow will be closed immediately when the exam deadline expires. It is therefore important that you generate a PDF file and start submitting your exam paper approximately 10 minutes in advance of the exam end time.

When submitting your paper in WISEflow remember the following:

  • Start uploading your exam paper in good time before the exam deadline. File size and your Internet connection affect how much time it takes to upload your exam paper.
  • Please note that WISEflow automatically logs off if the page has been open for a long period of time. It may therefore be necessary for you to log on to WISEflow again before you can submit your exam paper.
  • Remember that there may be fields on the cover sheet that you must fill in before you can submit your exam paper.
  • Check that you have uploaded the correct file before you click the button Click here to submit. 
  • Remember that your paper has not been submitted until you have clicked the button Click here to submit.
  • Remember to click the Request receipt button after submitting.
  • Note that if you during the exam decide to hand in a blank paper, your should click the Submit blank button. Please do NOT upload a blank paper.

Am I allowed to use the internet during on-site exams?

At all digital exams, there is internet access which you must use to download the exam assignment as well as to upload your finished exam paper. (It is therefore important that you test whether you are able to connect your computer to the wireless network Eduroam well in advance of the exam.)

It appears from the digital exam code whether you are allowed to use the internet during the exam for information searching. (In WOA, WOMC and WO exams, you are not permitted to use the internet.)

The internet may NEVER be used to communicate with others in or outside the exam room. All communication services and file sharing services on your computer (email, Messenger, Skype, Dropbox, etc.) MUST therefore be closed during the entire exam.

But what if my computer shuts down or otherwise fails?

Your computer is your own responsibility, and AU does not provide technical assistance or offer you a back-up computer in case your own computer breaks down.

Where can I find my participant index number at anonymous exams?

A number of exams at Aarhus BSS are conducted as completely anonymous exams. At these exams, the assessors will not be able to see your name or student registration number in WISEflow, but simply a random participant index number.

At these exams you can see your participant index number in the window that opens when you click the Preview the cover sheet button in the exam flow after the exam has begun. 

At FLOWlock-exams your participant index number will appear in the header of the FLOWlock-browser and it will automatically be inserted on all pages of your paper.

Can I choose to write the exam by hand?

No, the exams are digital (unless the instructions for a specific exam allow you to hand in handwritten graphs and figures). 

How do I digitize handwritten appendices?

At digital exams, you can digitize hand-drawn graphs, figures, illustrations, etc. and attach these to your paper. Digitisation can take place by means of:

  • The built-in camera in your computer
  • An external webcam
  • A handheld scanner

You can attach the digitised material as supplementary material or insert in it your paper.

At FLOWlock-exams you should use the built-in functionality in FLOWlock to activate the webcam in you computer or an externally connected webcam and take pictures of your appendices (you cannot use a scanner). You may also make a free-hand drawing in the built-in drawing tool. Before the exam, you may try out the webcam and the built-in drawing tool in the FLOWlock demoflow in WISEflow.

At some FLOWassign-exams, you may hand in handwritten appendices. Follow the directions of the exam supervisors.

How do I submit a blank exam?

If during an on-site exam or a take-home assignment, you decide not to submit your assignment, you must click “Submit blank” in Wiseflow without uploading anything.

The system will register that you do not wish to submit an assignment, and you will be registered for one examination attempt. In the Self-service system, you will see an FE (left exam) next to the exam.

If you are registered for an on-site exam and decide in advance not to take it, you should either deregister the exam within the time limit or refrain from appearing at the exam. Absence from an exam will be registered as a used exam attempt and will give you access to registering for the reexamination. See also Exam registration and withdrawal in the left-hand menu.

Use of screen reading programs

If you need to use the screen reading programs in connection with the exam assignment, which is handed out in WISEflow, you must:

1) Download the exam assignment to your own computer and

2) open the file with Adobe Acrobat Reader.  

What happens if the network fails during a FLOWlock exam?

Should the Internet connection fail during a FLOWlock examination, WISEflow will ask you to save an encrypted version of your paper on your computer. If the exam deadline expires before the Internet connection is reestablished, you should contact an invigilator who can help you hand in the locally saved copy of your paper by connecting your computer to the Internet by means of an ethernet cable.

After the exam

How do I know that my exam paper has been handed in correctly?

Your exam paper has been handed in correctly when you have uploaded and submitted your exam paper in WISEflow within the exam deadline.

Remember to click the button "Click here to submit". It is not sufficient just to upload your exam paper.

When you have handed in your exam paper in WISEflow, you may request a receipt by clicking the "Request receipt" button. After a short while, you will receive an email confirming that your exam paper has been submitted correctly. You should keep this receipt.

Who may I contact after the exam?

If you have questions regarding your exam paper, e.g. if you have discovered that your exam paper was not handed in correctly, you may contact BSS Study Service. You will find contact details for BSS Study Service here.

Can I see my exam paper after hand-in?

Shortly after you have handed in your exam paper, you will be able to see what you have handed in (except at multiple-choice exams). You simply enter the exam flow where you can see when your paper has been uploaded and you can read or download your paper and comments to it, if the assessors have chosen to share their comments with you.
